Supplier Onboarding

Once the supplier organization record is configured in the system (see Create Supplier Organization), you use the Supplier Onboarding module to complete the required documentation before activating the supplier's service types. The Supplier Onboarding module can also be used to manage documents when an existing supplier is added for a client in a new client country, and has not completed required documentation.

During the onboarding process, a supplier primary contact is defined. This supplier user is responsible for document reception, and can be configured to a be signatory on supplier documents. This user is required for the onboarding process to complete.

There two supplier user permissions and one MSP user permission that are required to complete the onboarding process, as follows:
  • Document Signatory - Supplier user that is responsible for signing documents.
  • Document Management - Supplier user that is responsible for downloading (receiving) and uploading required documents. Some documents might be marked for acknowledgement of receipt.
  • Contract Management - MSP user that reviews and validates documents from the supplier organization (validator). The MSP manually validates or rejects documents in the Supplier Documents section.

Documents can only be sent to configured recipients, which are supplier users with the 'Document Signatory' (for eSign) or the 'Document Management' permission. You can view the document recipient configuration on Supplier General Info > Supplier Primary Contact and Supplier General Info > RFI Documents Contacts. See Supplier General Information.

The Supplier Primary User can be created during the supplier organization shell creation, or this step can be skipped. The user can be created later, and added to the supplier General Information page, however, the onboarding workflow cannot be triggered until these users are configured. See Create a Supplier Primary Contact User.

Once the onboarding is triggered, the supplier users interact with the VMS in the Supplier view. An onboarding workflow guides them through the document review and upload process. After setting up their user accounts, user move through the workflow, and interact with the Supplier view document dashboard. Once all documents are validated, the MSP validation team completes the review and signs off on the submitted documentation, the workflow completes and the supplier can view information and take action. Each document that is triggered is assigned a status. If supplier onboarding has been completed (all document validated, organization made active, and service lines activated), triggering a document restarts onboarding, but does not deactivate a supplier organization with at least one active service lines.
