Onboarding and Offboarding Compliance Items

Compliance items in the Onboarding module are used to track specific items, such as certifications and credentials for a worker. The compliance item configuration allows you to enable specific fields on the item to be used that meet the client organization's business needs.

Each compliance item can be configured with specific fields, as follows:
  • Achieve - Enter a value in a date format.
  • Effective - Enter a value in a date format.
  • Result - Use the drop down to select a qualitative score (Pending, Pass, Exception, Fail).
  • Custom - Use the free form text box to enter comments.
  • Valid Location - Use the free form text box to enter a valid location for the item. This field does not auto complete with client organization locations.
  • Expires - Enter a value in a date format. If you are automating the creation of a new version of a compliance item, the application uses this date in addition to the number of days specified in the item configuration in order to generate the new item. A reminder email notification can be configured to use the expiration date and a number of days prior to the expiration (Duration column). You can archive an item, creating a new version of it. Creating a new version automatically adds it to the engagement of the worker. You can also set up each item to be archived at a specific time. This setting is only configured at the item level. For more information about archiving, see Archive Compliance Item.
Note: The archive process adds the new item in the 'Pending' status.
The archive contains the history of the item, and also any attached documentation/files for that version of the item. You can access the item archive by clicking in the item, and then clicking the Archive tab in the item view. Note: If you are using an automation to create new versions, completed items must be manually archived before the process can complete.
If the client organization has strict requirements around compliance items due to business practices, you can additionally control view/edit access to complaints items, both at the client manager user level, and the item level.
Note: A client manager must be the manager/approver or a delegate for the engagement in order to view/edit compliance items.
