Funds Tracking Settings

These settings appear on the Funds Tracking (PO Configuration tab) page.
Setting Description
Funds Tracking From the drop down, select the type of fund to set up. Select from the following types:
  • None - The application does not track an amount as a fund.
  • Budget - Tracks spend from a budget amount added to the engagement in the Initial Amount field.
    Note: This amount is automatically calculated using parameters from the requisition, and supplier inputs. You must manually adjust this value to the true budget amount to track the budget spend.
  • PO - Tracks spend on a purchase order (PO). If you select this option, you must configure at least one line association. For more information about setting up an association list, see Add a Line Association List.
  • Multiple Budget - Tracks spend from a preconfigured budget. This value is selected on the requisition.
  • Master Budget - Tracks spend from a master budget. For more information, see Master Budgets.
PO Association If you select PO in the Fund Tracking field, select the level to associate the PO at, Client or Requisition.
Display "Ship To": Select the check box to add "ship to" information to the invoice.
Display "Bill To": Select the check box to add "bill to" information to the invoice.
Funds Remaining Threshold % Enter the threshold for the spend amount.

This value is used to alert the MSP associated with the engagement in Broadcast Reminders > Funds Depletion Reminders.

Budget Code Reference List If you select Multiple Budget in the Fund Tracking field, from the drop down, select the budget. This value is configured as a custom field reference list. For more information, see Custom Fields Reference List Configuration.
Allow Budget Amount To Be Exceeded Select the check box to allow the master budget value to be exceeded. If this check box is not selected, and the master budget is exceeded, the application does not invoice the client organization for billing items.
Require Department Select the check box to require a department to be selected on the requisition.
Manually Add Additional Finds for Extensions Select the check box to allow a user with edit permissions to manually change the budget amount for an engagement. This action triggers an approval workflow, if configured. For more information about approval workflows, see Approval Routing Configuration.
Allow Additional Funds to be added to closed engagements Select the check box to allow a user to add funds to the budget or master budget of a closed engagement.
