Worker eSign Overview
Worker eSign integrates Magnit VMS with DocuSign so MSPs can send worker onboarding and offboarding documents for electronic signature directly from the VMS. Document templates, signing order, reminder cadence, and expiry are configured once at the module level and then attached to specific on/off boarding item templates.
- An MSP attaches a configured DocuSign document template to an on/off boarding item template (see Configure an Onboarding/Offboarding Template).
- When the item is initiated for an engagement, the VMS sends the document(s) to the worker (and any other configured signers) via DocuSign.
- The item shows Pending Signature until all signers complete the workflow.
- Signed documents and the full audit trail are stored against the item version in the VMS.
For configuration settings, see Worker eSign Settings. For the task to send a document for signature, see Send a Worker eSign Request. For the worker-side signing experience, see Worker eSign in the worker user guide.
The MSP Admin or SysAdmin role with the Approval Configuration permission is required to enable and configure the Worker eSign module for a client organization.
Extended DocuSign Capabilities (R26.4)
The Worker eSign module has been expanded with the following capabilities:
- Rich-text template creation with dynamic variables (worker name, start date, supplier name, and more)
- Automated document generation and auto-attachment when items are added to an engagement
- Full DocuSign lifecycle management: send, track envelope status (Sent, Signed, Rejected), and auto-import signed documents
- 14-day expiry detection with system-initiated re-send
- Role-aware controls — only MSP users can initiate Send for eSign; Managers have visibility and download access only
- Engagement-level template editing
- Single-document validation before sending
